Focus and Flourish: The Art of Time Blocking



As a business owner, you’re balancing numerous tasks, from handling finances, promoting your products and services to strategic planning and at times it's easy to feel overwhelmed, especially if you throw a busy personal life into the mix.


In the midst of this busy landscape, discovering a way to enhance your productivity is crucial. One effective strategy that can transform your productivity is time blocking and this blog post explains how it can help you achieve focus, become organised, and be super efficient.


What is time-blocking?

Time-blocking is a time management technique that I use and that I have introduced to many of my clients. It works. There's no science or magic apps, it's a simple process that when used correctly and consistently can transform your productivity.


The aim is to divide your day into dedicated blocks of time for various activities. Instead of having a vague to-do list, you assign specific tasks to specific time slots on your calendar. For instance, you might block out 9 AM to 10 AM for responding to emails, 10 AM to 12 PM for product development, and 1 PM to 2 PM for team meetings.


These can include one-off tasks or regular activities like social media engagement, blog writing, invoicing, and more. I also apply this method to plan my client work for the week.

The time is scheduled in advance and “protected,” meaning you shouldn't book calls, attend networking events, or start other tasks during that period. If I’ve set aside one hour to design social media graphics for a client, that becomes my sole focus for the entire hour. I block out distractions like emails and social media and concentrate completely on that one task.


Be warned, this is hard to do at first, but you will get used to it. I used to put my phone in another room!

Be Realistic

It also requires you to be realistic about the time it takes to complete a task. You'd be surprised by how many people underestimate the time it takes to complete a task. If a task cannot be completed within the time, then schedule when you are going to complete it straight away and as soon as possible so that you don’t lose the flow.


Benefits of Time Blocking for Small Business Owners

Increased Focus and Productivity - Time blocking promotes deep focus by reducing distractions. With dedicated time for each task, you're less likely to be sidetracked, boosting productivity and helping you achieve more in less time. In this case, multi-tasking is not a thing - controversial I know!


Reduced Overwhelm - Many clients I work with struggle with constant task-switching and lack of structure, jumping from one urgent task to the next. A time-blocked schedule offers clarity by visually mapping out your day/week, reducing overwhelm and giving you control back. It helps you mentally prepare for each task in advance.


Enhanced Personal Accountability - A clear schedule keeps you accountable for completing tasks within the set time. If you often run over, it’s a cue to reassess your workload or refine your approach. You may also discover that some tasks take longer than expected, while others require less time.


How to Time Block

  1. Tools - decide which tool you are going to use. Online calendar, journal or notebook? Google and Outlook calendars work really well.

  2. Review Your Current Schedule -  Identify recurring tasks, such as responding to emails, attending scheduled meetings, and writing, for example.

  3. Add your time blocks - start by adding the regular chunks of time ie emails, meetings etc. Some people aim for 25- to 50-minute blocks followed by short breaks for optimal focus. Then you can add tasks for the week. Also, it helps to use colour codes which both Google and Outlook have. I use different colours for each client. But you could use different colours for each task.

  4. Stick to Your Schedule - as I said earlier, treat the time as 'protected'. If you don’t finish a task, book time in your calendar to complete it so that it doesn't drift.

  5. Review and Adjust - at the end of the first week, review what worked and what didn’t.

Time blocking is more than a scheduling tool; it’s a mindset shift that can transform how you, a small business owner, manage your time. By prioritising tasks, reducing distractions, and fostering accountability, it helps you take control of your day, ease overwhelm, and boost business growth. Try it and see your productivity soar!
